2.10 Archives Policy

2.10.01 Purpose of the Archives Collection

Preserve the history of the City of Logan, Cache Valley, and Utah in general.

2.10.02 Objectives

  1. To collect histories and biographies and other materials of an historical nature that deal with the City of Logan, Cache Valley, and Utah. To collect works of authors from Cache Valley.

  2. To provide protection to the materials which are rare, irreplaceable or are subject to theft and/or mutilation.

2.10.03 General Policy

  1. The collection is specific to the City of Logan, Cache Valley, and the State of Utah in general and is intended for public use.

  2. Misuse or abuse of the collection by the public will be dealt with in accordance with state statute 76-6-8 "library theft".

  3. The librarian designated as archivist, under the direction of the library director, will have charge of the archives.

2.10.04 Guidelines for Collection Development

  1. Guidelines for collecting materials concerning the City of Logan:

    1. Information and/or biographies about prominent people in Logan i.e., mayors, council members, city officials, business and professional people, etc.

    2. Political and governmental histories of Logan.

    3. Histories of Logan businesses and educational institutions.

    4. Diaries and biographies of Logan residents.

    5. Oral histories of Logan residents.

    6. Other histories, records, or information that may help in the preservation of the history of the City of Logan.

  2. Guidelines for collecting other materials:

    1. Histories of local communities in Cache Valley and Utah.

    2. Histories dealing with the counties of Utah.

    3. Biographies of people who have lived in Cache Valley.

    4. Publications by local authors will be added based on appropriateness to the Library's overall mission.

  3. Exceptions are permitted at the designation of the library director.

2.10.05 Public Access-Regular Collections:

  1. Access to the archives is restricted. Permission to use the archives will be granted by the reference librarian on duty.

  2. The reference librarian on duty may limit the number of people in the archives.

  3. Meetings may be scheduled in the archives; however, it is not generally available as a regular meeting room or study room. The librarians reserve the right to interrupt meetings in order to retrieve materials.

  4. Children under the age of ten must be accompanied by an adult when using the archives.

  5. Use of the archival collections is restricted to the archive room unless authorized by the reference librarian on duty.

2.10.06 Public Access-Closed Stacks:

  1. The closed stack area of the archives (Archives Room #2) is closed to the public for browsing.

  2. Materials from the closed stack area of the archives are obtained by submitting a request to the reference librarian on duty.

  3. Use of the materials from the closed stack area of the archives is restricted to the archive room unless authorized by the reference librarian on duty.

2.10.07 Duplication of Materials

  1. Photocopying is regulated through Federal copyright law. Permission of the reference librarian on duty is required before items from the archive collection can be photocopied. Items that are rare or fragile may require special authorization and/or the assistance of the librarian before they are copied.

  2. Selected materials are microfilmed for preservation purposes and in accordance with Federal copyright law.

  3. Requests to remove materials from the library to be professionally duplicated require the authorization of the library director and the archive librarian.

2.10.08 Management of the Archives

  1. The library director is responsible for the overall management and direction of the archives.

  2. The archivist is responsible for the operation and management of the archives including but not limited to the following duties:

    1. Insuring the protection and safety of the collection.

    2. Providing the public and library staff with instructions for proper use.

    3. Monitoring and maintaining the physical condition of the collection in accordance with established library policies and procedures.

    4. Acquiring materials in accordance with established library policies and procedures.

    5. Coordinating the cataloging and processing of materials in accordance with established library policies and procedures.

  3. The sale, alienation, destruction or other disposition of records housed in the archives is prohibited without the knowledge of and agreement of the director of the library and the archivist.
